Position Summary:
This position provides exceptional administrative support to the Principal while also managing the school's bookkeeping tasks. Responsibilities include a combination of administrative duties, financial record-keeping, and customer service. The ideal candidate will be a highly organized and detail-oriented individual with strong communication and computer skills.
Education and /or Experience:
Associate's/Technical degree and considerable experience working as an administrative assistant, or an equivalent combination of education and experience in administration and bookkeeping.

Administrative Assistant & Bookkeeper - Principal
General Definition of Work
Performs intermediate-skilled administrative support work, maintaining system and student records, answering phones, greeting visitors, assisting with the communication and execution of staff and student events, and related work as apparent or assigned. Work is performed under the limited supervision of the Building Principal.

The ideal candidate will be a highly organized and detail-oriented individual with strong communication and computer skills.
Essential Functions:
Maintain system and student records, including confidential and public data.
Coordinate and prepare documents, including correspondence, charts, memorandums, and minutes.
Assist with special student events (registration, open houses, conferences, etc.).
Monitor and report staff absences, prepare sub or new staff requests.
Assist substitute employees with daily check-in and orientation.
Provide customer service to students, staff, parents, visitors, and the general public.
Perform other duties as assigned.
Bookkeeping:
Process and code invoices, check requests, timesheets, and mileage reports.
Process requisitions and generate purchase orders.
Manage the collection, counting, and depositing of cash and checks.
Maintain petty cash accounts and reports.
Work with vendors and manage local account activity.
Collect and record student participation fees, activity fees, and fines.
Assist with event preparation by providing financial support.
Track ordered and received items for administration, staff, and coaches.
Issue emergency checks as needed.
Assist with year-end financial closing.
Create and maintain spreadsheets and databases of student fees and fines.
Address financial inquiries from various stakeholders.
Knowledge, Skills, and Abilities:
Thorough knowledge of standard office procedures, practices, and equipment.
General knowledge of school system routines, procedures, and policies.
Proficiency in business English, spelling, and arithmetic.
Strong skills in oral and written communication.
Expertise in using personal computers and related software packages (including Google Suite).
Ability to perform bookkeeping tasks and maintain accurate financial records.
Ability to organize and prioritize multiple tasks independently.
Ability to type accurately and efficiently.
Excellent customer service skills.
Ability to build and maintain positive working relationships with diverse groups of people.
Education and Experience:
Associate's/Technical degree and considerable experience working as an administrative assistant, or an equivalent combination of education and experience in administration and bookkeeping.
Physical Requirements:
This position requires occasional exertion of up to 10 pounds of force.
Requires regular sitting, speaking, and hearing.
Requires frequent use of hands and fingers.
Requires occasional standing, walking, stooping, reaching, pushing/pulling, and lifting.
Standard vision and hearing required.
Ability to work in a moderately noisy environment
Special Requirements:
Demonstrated experience working with Google Suite.
